Facility Reservations

ÒùÆÞÉç Recreational Services includes three indoor facilities and outdoor fields on both ÒùÆÞÉç Main and Health Science Campuses. We strive to make our facilities available to interested parties from ÒùÆÞÉç and surrounding communities while serving as the hub for recreational services and well-being.

Before completing a facility space request, please review the below guidelines as well read our onlineÌýFacility Rental PoliciesÌýwhich will assist in planning your event with Recreational Services at the ÒùÆÞÉç!ÌýWe value the importance of booking our facilities for informal recreational needs to UT students and paying members.Ìý Due to this, we strive to offer open recreation for our users during hours of operation.Ìý

Student Organizations

All student organizations must submit their event request via All student organization events must be approved by the Office of Student Engagement before the event can be reserved at a Recreational Services facility. Events are only confirmed if the Rec Services office receives a signed rental agreement.

Group Reservations (Community and ÒùÆÞÉç Departments)

Groups of two or more using general recreation spaces are required to go through the rental process by submitting aÌý. For special accommodations, Ìýplease check in at the main office or call 419.530.3700 to make prior arrangements.

UT Recreational Services reserves the right to determine the potential harm to facilities or participants and may reject requests.ÌýGroups renting a facility are required to observe all applicable policies of Recreational Services and ÒùÆÞÉç, and all local, state and federal laws.

UT Recreational Services, Auxiliary Services and ÒùÆÞÉç are not responsible for lost, stolen or misplaced property. All areas of the Student Recreation Center and Morse Fitness Center, including the locker rooms, are for use at the risk of the patron.

Registering an event for approval through InvoNet or submitting an online facility request onÌýÌýdoes not mean that the facility, equipment or instructor has been reserved for your event. ÌýUT Recreational Services must determine requested items are available and all rental requirements have been met prior to sending a confirmation email.Ìý

Requests are processed in the order in which they are received, please allow a minimum of 72 hours or three business days for a UT Recreational Services staff member to respond to your request.Ìý

Rental Process

  • If applicable, sign and return Rental Contract
  • Check in with Building Supervisor upon arrival
  • Turn in waivers for ALL participants
  • Pay balance for rental reservation and, if applicable, any per person fee
Registered Student Organizations Register event via
  • Fill out an InvoNet Request Form
  • Sign and return Rental Agreement
  • If applicable, for larger events, schedule a planning meeting with the Coordinator of Events and Facility Operations 8 weeks before the event date
  • Check in with Building Supervisor upon arrival
  • Turn in waivers for ALL participants that are NOT ÒùÆÞÉç students
  • Pay balance for rental additional costs

Advanced Notice

To process paperwork and obtain necessary approvals, we require space reservation forms to be submitted within the following required timeline:

  • Meetings, Birthday Parties, trainings, and other small events must be submitted atÌýleast 4ÌýweeksÌýprior to the requested event date.
    • Aquatics rentals that require additional staff must be submitted at least 5 weeks prior to the requested event date.Ìý
  • Large events with 100+ individuals in planned attendance or require complex setup must be submitted at least 8 weeksÌýprior to the requested event date.Ìý
    • 2 pre-event planning meetings will be scheduled for 4-5 weeks before the event date and 1-2 weeks before the event date.Ìý

Priority scheduling is given in the following order

  1. Office of Recreational Services requests
  2. Regularly scheduled academic classes
  3. ÒùÆÞÉç requests
    1. Athletics
    2. Departments
    3. Student Organizations
  4. Non-University requestsÌý

All users must abide by the Office of Recreational Services policiesÌý

  • Children 12 and under must have an adult always accompany the minor) to the facility and supervise the minor for the duration of the visit. The adult member or guest pass must supervise the minor at all times. Supervision is defined by actively engaged, easily accessible and within reach of the minor.
  • Children 12 and under are prohibited access to and use of the exerciseÌýmachines, free weight area, spa and sauna.
  • Children 13-17 may use the exercise machines, free weight area, spa andÌýsauna as well as all other areas of the facility.
  • Children age 17 and under must have a waiver signed by their parent orÌýguardian on file in order to enter the facility.
  • Children ages 7 and under must be within arm’s reach of a parent/guardianÌýwhen in the pool.
  • Children 6 and over must use the appropriate gender locker room.
